Executive Assistant (M/F) part time

We want to expand our team and are now looking for an Executive Assistant to join our team! You will report to CFO and CEO directly


Travel required




The right candidate will have several caps:

  1. Projects

    • Assist with preparation of presentations

    • Organization and attendance to meetings and conference calls: collect supporting documentation and information in order to prepare minutes

  2. Administrative and financial

    • Preparatory accounting and liaise with fiduciary

    • Prepare order files and maintain all order records

    • Keep customers advised of delivery lead times (planning, logistics, …)

    • Communicate with customers at all levels to ensure satisfactory service levels

    • Responsible for updating purchase invoice registers in timely and accurate manner

    • Responsible for maintaining and updating all registers accordingly

    • Maintain monthly income accruals and coordinate monthly client billing and settlement

  3. Office

    • Prepare materials for meetings and provide post-meeting follow-up notes

    • Assistance to the office – document preparation, formatting, etc.

    • Manage phone calls, agenda and e-mails

    • Make travel arrangements

    • Schedule meetings

    • Ordering including paper stocks and office supply

    • Filing electronic and paper

    • Collecting and distribution of incoming post, archiving and liaising

  4. Human Resources

    • Collection of staff tax cards

    • Administration of meal vouchers

    • Administrating the on boarding of new joiners

  5. General

    • Uphold a strict level of confidentiality

    • Coordinate as necessary in progressing where special action is required to avoid delay in critical situations

Applicable background

  • Strong verbal and written communication skills in English and French (other languages is an asset)

  • Proficient with the standard MS Office - Applications

  • Able to work autonomously, to manage multiple tasks and prioritize schedules

  • Rigorous, flexible, collaborative and excellent team player

  • Able to maintain positive and proactive attitude also in stressful situations

Qualifications and Education Requirements :

  • Diploma related to administration or secretarial field

  • 2-5 years’ relevant experience

Job Type :

part time permanent contract (20H/week)
